A Clear, Guided Approach to a Successful Full-Day Photo & Video Shoot

This page is designed to give you a clear understanding of how a full-day photo and video shoot works, what we will be capturing, and how to prepare so the day runs smoothly and efficiently.

Our role is to guide you through the entire process.
Your role is simply to arrive prepared and trust the structure we’ve put in place.

Our Process

A full-day shoot typically includes three main components.

1. Team & Group Photography

We begin the day with group photos of your full staff, followed by smaller sub-groups as needed.

These images are used throughout your website and marketing materials to present a cohesive, professional team.

All staff members should be present for this portion of the shoot.

What Is Captured During the Shoot

2. Doctor Portraits (Multiple Looks)

We photograph the doctor (and associate doctors, if applicable) in several settings and outfits to reflect different aspects of your professional presence.

This generally includes:
– Scrubs
– A white coat, if available
– Business or professional attire
– Lifestyle-style portraits suitable for consultations or branding

These portraits help establish both credibility and approachability across your website and promotional content.

3. Doctor In Action consulting a Patient

Typically, we feature three to five key specialty topics, such as:
– Implants
– All-on-X
– Veneers
– Whitening
– Orthodontics
– Etc

For each topic, we capture the appropriate activity related to it, such as photos and video of:
– Consultations
– Explaining procedures
– Reviewing X-rays
– Shade matching
– Natural doctor–patient interaction

These visuals are intended to replace stock photography and help future patients connect with your practice on a human level.

This portion of the shoot focuses on storytelling and patient experience. We stage realistic scenarios using professional models acting as patients. These scenes are designed to show how a patient might experience your office — from consultation to care — without any clinical or graphic content.

4. How the Day Is Structured

We arrive at your office in the morning and conclude the shoot around sunset.

Staff & Doctor Presence

We begin with full team photos, all staff need to be present for this. After the group photo portion is complete, only select staff members are needed for the remainder of the day.

Typically, we will need:
– The primary doctor
– Any associate doctors
– One dental assistant
– One front desk or office manager

The front desk staff member will participate in reception and greeting scenes.
The dental assistant will assist during “in-action” operatory shots.

We will guide you on exactly who needs to remain present and when.

5. Maintaining a Smooth Flow

To keep the day efficient, we plan the shoot sequence in advance.

While one scene is being filmed, we ask that:
– A staff member prepares the next setup in a separate operatory
– This allows us to transition smoothly without delays

For example, while filming veneers, another room can be prepared for implants.

This preparation helps maintain momentum and minimizes fatigue.

6.Featured Topics & Models

As part of every dental shoot, we identify the three to five most important services to feature.

We then:
– Select and hire professional models
– Match demographics to your target patient base
– Confirm topics and models with you ahead of time

This planning ensures variety, realism, and consistency across all content.

7.PREPARING FOR THE SHOOT

Staff Appearance

For polished, consistent results, please ensure that all staff arrive camera-ready:
– Hair and makeup completed before arrival
– Clean, wrinkle-free uniforms
– Clean shoes without visible scuffs
– Well-groomed hands for close-up shots

For doctors and male staff, a haircut approximately one week prior to the shoot is recommended.

Doctor Wardrobe

Please have the following available:
– Scrubs
– A white coat (pressed, if possible)
– A business suit or professional outfit

A white coat creates a refined consultation look, though scrubs are perfectly appropriate if that better reflects your brand.

Preparing the Office Environment

In the days leading up to the shoot, we recommend the following steps:

– Remove paper flyers, posters, or taped notices from walls
– Keep only framed artwork or certificates visible
– Clear reception desks and countertops of clutter, loose papers, and promotional materials
– Simple décor such as a plant or small floral arrangement can be a nice finishing touch

These details make a meaningful difference in the final imagery.

Guidance During Action Shots

We provide clear direction throughout the day. A few general principles help ensure natural, usable footage:

– Avoid looking directly at the camera unless instructed
– Maintain eye contact with the person you are interacting with
– Keep a calm, welcoming demeanor
– Sit and stand with relaxed posture
– Move slowly and intentionally

If a scene needs to be repeated, simply follow the direction and remain focused on the interaction. Shots that include direct eye contact with the camera are typically not usable unless specifically planned.

8.Deliverables

Delivery Timeline

All content is delivered within two weeks of the shoot.

We coordinate with your website or marketing team so the images and videos can be integrated seamlessly into your site and campaigns.

Final Notes

This process is intentionally structured to make a complex shoot feel manageable and organized.

Our role is to guide you through each step so the day feels clear, efficient, and productive.
If questions come up at any point, we are here to support you.

We look forward to working with you.
